Artepub : Cultural Ads Posting in Brussels

Artepub is a Brussels company active in cultural display. It deals with the promotion of shows and cultural activities such as music, dance, or theater, but also sport events, exhibitions, trade fairs or art fairs.

The small structure was born twenty years ago from an initiative of Paul Vankaster, who started sticking posters on palisades site. Initially, the two-people team was handling all there was to do, while evolving on the frontiers of a regulation on billboards still in the draft stage.

Since then, through various corporate takeovers, Artepub has grown, structured itself, expanded its networks and display points, and employs now a team of fifteen people.

Genesis of the application

Paul Vankaster has been using FileMaker since its beginnings in 1997 to help him run his business. This choice was dictated at the time for the ease of use  as well as the speed of development FileMaker allowed. Vankaster particularly appreciated the possibility to be hands-on to develop his own application.

Fifteen years later, day-to-day activities and tour planning operations had become too much of a burden for the executives which needed to focus their energy on the growth of the company, the number of campaigns, and the number of display points. In parallel, more development time was needed for the application to match the pace of the expansion.

Guided by his intuition that only a tool providing an accurate visual representation of complex operational data could support Artepub’s operations, Paul Vankaster set out to search for a partner who could develop such custom application.

Artepub : évolution des points d'affichage

“A job that sometimes took me half a day, I’m doing it now in 10-15 minutes…”

The application now allows you to visualise the planning of all current campaigns, but also the position of each of the 8700 display points. It facilitates the generation of offers based only on the available locations. Thanks to the QuickPlanning, the planning of the different tours is done automatically according to the posters to be placed or replaced, and interventions to be made. Finally, it is the whole of the company’s processes which has been integrated in the application.

Mobility and ecology…

Artepub has a fleet of eight vehicles including two cars and two electric bikes.

In addition to the economic and ecological aspect of electric vehicles, these bicycles greatly improve mobility in Brussels where traffic is dense. They also facilitate the frequent stops needed to place the posters. Finally, since the creation of the pedestrian zone, cars are forbidden in the entire perimeter as early as 11 o’clock in the morning. This difficulty is skilfully circumvented by the use of bicycles.

… Ecology and Mobility

For touring, the use of FileMaker Go on iPad has replaced the printing of hundreds of pages per week.

The mobile application has streamlined the sharing of information between people who manage campaigns and schedules from offices, those who prepare the posters in the workshop, and finally those who are on the road responsible for poster tours.

The photos taken by the agents in the field with their iPad and all the information they collect (customer report, degraded frames, necessary interventions …) are synchronized with the server upon their return.

The application in a few points

  • Centralized application, multi-user, which manages all the processes of the company
  • Modularly designed to allow the addition or adaptation of modules as needed
  • Using the same application in mobile version, on iPad, thanks to FileMaker Go
  • Taking photos from iPads for incident reporting and customer feedback
  • Interface facilitating the management of complex data through a visual representation in the form of graphs, maps and diagrams </ li>
  • Management and geographic location of the 8000 display points

Design and integration in the urban environment

Creating new display locations is not easy in the city, where the visual environment is already overloaded. Artepub has often been creative in offering for example to associate “display space” and new street furniture “design” (street ashtrays, bike racks …). Artepub also participate, on its scale, in the beautification of the public space by affixing its displays on the existing urban equipment such as electrical distribution terminals or palisades of building sites, or by creating new design objects such as cubes, or banners hanging on the streetlamps.
